What an invoice is, and what makes it a tax invoice

An invoice is the bill you send a customer after you’ve done the work or delivered the goods. It records what you sold, what it costs, and how to pay you. Get it wrong and you wait longer to be paid, so most of the detail on an invoice exists to leave no room for argument: who it’s from, who it’s to, a unique number, the date, a line for each item, and the total due.

Once your business is registered for VAT with SARS, that bill becomes a tax invoice, and SARS sets out exactly what it must contain, including the words “tax invoice”, your VAT number, and the VAT shown separately. Leave the VAT number off and your invoices simply show no VAT, which is correct for a business that isn’t registered.

A quote comes before the invoice. It’s the price you offer a customer before they commit, and it’s also what people often mean by a proforma invoice: a preliminary bill that isn’t a demand for payment yet. Common questions about invoicing and quotes on Govchain.

Is Govchain invoicing really free?
Yes. Creating invoices and quotes, sending them as a PDF, and getting paid by EFT are free for any Govchain account, with no limit on how many you send. Taking online card payments, which run through Paystack, is an optional extra you can switch on. EFT costs you nothing.
Does it create a proper tax invoice?
Yes. Add your VAT number in your settings and every invoice becomes a valid tax invoice: it carries the words “tax invoice”, your VAT number, and 15% VAT shown on each line and in the total, which is what SARS requires. If you’re not registered for VAT, leave the number off and your invoices show no VAT.
Can my customers pay by card?
Yes, if you switch on online payments. Card payments are handled by Paystack. Without it, your invoice still shows your bank details so customers can pay by EFT for free. Either way your customer doesn’t need a Govchain account to pay.
Can I send a quote and turn it into an invoice?
Yes. You can build a quote the same way you build an invoice, send it for the customer to accept, and convert it into an invoice in one click once they say yes. Nothing gets retyped.
What is a proforma invoice, and can I send one?
A proforma invoice is a preliminary bill you send before the real one, usually so a customer can arrange payment or approval. It isn’t a demand for payment. In Govchain you’d send a quote for this, then convert it to a tax invoice once the work is confirmed.
Can I set up recurring invoices?
Yes. If you bill a customer the same amount every week or month, you can set an invoice to repeat and Govchain generates and emails it for you on that schedule.
Do I need a registered company to use it?
You need a Govchain account with a company added, which is free to set up. If you haven’t registered a company yet, you can register one with Govchain first, then start invoicing from the same account.
What currency are invoices in?
Invoices and quotes are in South African rand. Govchain invoicing is built for South African businesses billing local customers.
